Advantages of Including Schedules in Architectural Drawings
Schedules on the drawings can have many advantages. The information is always available to the contractors. Specifications are simpler since the variable information is on the drawings. You can create a master schedule, insert it into the drawings and edit it when you are ready to make the decisions. This is both a time-saver to implement and an office standard that prevents mistakes.
The schedules below are samples of edited schedules that demonstrate the methodology.
The Accessory Schedule
For most light commercial buildings the toilet accessories don’t need special attention. This is a perfect place to develop an office standard that can be re-used on each of those projects. Put all the variations in the master schedule. Edit out the unused rows when the toilet room layout is final.
The Painting Schedule
The Painting Schedule is an even greater time-saver on most projects because it can incorporate all you have learned about what works for you as you encounter new situations and materials. The systems rarely change. For each new project take the master, remove systems you do not need, and then update the list of applications.
The Sealant Schedule
The Sealant Schedule is another issue where your design solution is unlikely to change which sealants that you want to use where. Once you have documented your decisions in the schedule format, it is easy to get the sealants for the project covered in a specific and professional way. As you can see by the skipped Type IDs, that is the main editing job required. Proof reading the Applications is the other.

You may want a specification covering the quality and installation aspects of these materials.
Drawing placement
These schedules should be placed on the schedule sheets, the A600 or AE600 series of sheets if you are using the National CAD Standards. The drawing notes would use the IDs in the schedules or otherwise call attention to them.
Bidding considerations
With the use of schedules it may look as though you are eliminating competition. You are not. Depending on the type of client and the Project Delivery Method you are working under, there are a couple of ways to maintain competition. First is ‘Basis of Design’. With the Basis of Design approach, you give one manufacturer whose products meet your requirements and state that other manufacturers’ products that are equivalent are acceptable. You can require pre-approval before bids are received for another level of control. The second way to maintain competition is to Name Manufacturers. In the schedule or specification, list three or more manufacturers whose products meet the requirements. You can choose to consider others who want to be considered or not.
