Billable Ratio

The Billable Ratio is the ratio of billable hours to non-billable hours. The Ratio is calculated for each staff member and for the overall organization. 

The Billable Ratio is a key indicator of an organization's productivity.  The organization's billing rates and profitability are tied to the Billable Ratio. ​

Setting Billable Ratios

Every organization has a Billable Ratio. When that ratio is over 67%, it is easier to be profitable. So you might start out attempting to achieve a ratio of 67%. For the organization the Billable Ratio is the average of all the individuals. Most individuals have other work to do besides working on billable projects. A contract worker is an exception. They can usually be expected to log exclusively billable time - 100%. A CAD tech might be 90-95% billable. A project architect, perhaps 80%. But a principal might struggle to be even 50% billable. And an office admin might not be billable at all. 

Although you can set Billable Ratios for everyone, the likelihood is that everyone will actually achieve a different ratio than planned. It will take time and changing habits to hit your target Billable Ratio.

How the individual checks their Billable Ratio

The individual goes to the My Records > More…forms, etc. page. Their Billable Ratio is shown as a pie chart on the page. The timeframe for the calculation can be changed with the filter menu buttons.

How managers can check the overall Billable Ratio

There is an Billable Ratio button on the Project Reports page. This ratio is calculated for ALL time records for the various time frames. ​​Users with a Level 4 User Role can view this report. 

How a principal can use the Billable Ratio

As an Admin your User Role can access the Staff table on the Admin page. Viewing details for a staff member opens a page of details about that staff member. Their Billable Ratio is shown there.

​You can also view the Overall Billable Ratio for your organization from the Admin page using a button to access the report.
